GENERAL QUESTIONS
 

What are the dates of ICOT 2024? 
Sunday, 7 July – Thursday, 11 July 2024 

Where is ICOT 2024 being held?
Melbourne Convention and Exhibition Centre (MCEC)
1 Convention Centre Pl, South Wharf VIC 3006

Can I submit an abstract/poster presentation to present at ICOT 2024? 
Abstract/poster presentation submissions open on Monday, 11 December 2023 
Abstract/poster presentation submissions close on Sunday, 31 March 2024 

Can I register for an ICOT 2024 mailing list?

Where can I find the conference program? 
The ICOT 2024 conference program will be released early 2024 and will be available on the ICOT 2024 website.  The program will also be distributed to registered attendees. 

Will there be pre-events leading up to ICOT 2024?
Yes. Subscribe to the ICOT 2024 mailing list here to be notified when events are announced.


REGISTRATION 

How much does it cost to attend the conference? 
Registration for ICOT 2024 opens Thursday, 30 November 2023 and can be accessed here

Do I have to pay for the conference upfront? 
Full payment of conference registration fees must be paid within 7 days of completing your online registration. 

Can you invoice me once you receive my registration form? 
The online system will allow you to register and indicate payment by EFT issuing you with an invoice and giving you 7 days to pay. Please note if your payment is not received within 7 days your registration will be cancelled.

Can I book for more than one (1) person?
You can make a group booking if you are booking for more than 2 persons.  Details are provided on the registration page to guide you through how to book for 3 to 5 persons.

Can I get a refund if I cancel my registration? 
Registration cancellations will not be accepted unless made in writing to the Event Organisers. If the notification is not received by the Event Organisers, the cancellation is deemed to have been not notified. 

If you decide to cancel your participation at ICOT 2024 the following cancellation fees will apply: 

  • Cancellations received prior to 5:30pm AEST, Wednesday, 1 May 2024 - A full refund less a AUD$150 service fee.  

  • Cancellations received after 5:30pm AEST, Wednesday, 1 May 2024 – 5:30pm AEST, Saturday 1 June, 2024 – A 50% cancellation penalty will apply, less a AUD$150 service fee.   

  • Cancellations received after 5:30pm AEST, Saturday, 1 June 2024 – A 100% cancellation penalty will apply.  Non-payment does not constitute cancellation. 

Refunds of accommodation deposits are not included in the conditions and are at the discretion of the accommodation venues. 

In the event a delegate registers but fails to attend the conference, a 100% cancellation penalty will apply.

Can we share one registration between different people? 
Each individual must be registered for ICOT 2024, a ticket cannot be shared. 

If I cannot attend, can I give my registration to someone else? 
If you cannot attend, you may nominate a replacement delegate at no cost, please contact the Event Organisers via email at info@icot2024.com or phone on +611300 870 195 or +61 3 9020 2684.  

What happens if I miss a presentation? 
After ICOT 2024 has concluded, keynote presenters and selected feature presentations will be uploaded to an on-demand library, where it will be available for 60 days post conference. Attendees will be given login details to gain access. 

SOCIAL FUNCTIONS  

Will there be social functions? 
Yes, ICOT 2024 will include a Welcome Function & Celebration Event as a part of your registration.

How much does it cost to attend the Welcome Reception? 
One (1) ticket is included in your registration. 

How much does it cost to attend the ICOT 2024 Celebration Event? 
One (1) ticket is included in your registration.

Can I promote my service and products?
Attendees including speakers, sponsors and delegates are not permitted to promote products and services unless previously approved. If you're interested in becoming a Sponsor and promoting your product or service please contact the ICOT team, more information can be found on the Sponsorship page.


ACCOMMODATION & TRAVEL
 

Can I book my flights/accommodation for ICOT 2024 through the Event Organisers?
Yes. The Event Organisers have arranged airline discounts for participants attending ICOT 2024 and would be happy to assist you.

Can I book my accommodation through ICOT? 
Yes. Accommodation can be booked when completing your online registration. The registration link can be found here

If you have already registered for the conference and wish to now make an accommodation booking, please contact the Event Organisers via email at info@icot2024.com or phone on +611300 870 195 or +61 3 9020 2684. 

How do I make changes to my accommodation booking? 
All changes need to be made through the Event Organisers via email at info@icot2024.com or phone on +611300 870 195 or +61 3 9020 2684. 

Please ensure any changes are made prior to Monday, 1 April 2024 to avoid fees that may be charged by the hotel.  

How do I cancel my accommodation/flight booking?
All cancellations need to be made through the Event Organisers via email at info@icot2024.com or phone on +611300 870 195 or +61 3 9020 2684. 

Cancellation fees will apply after Monday 1 April if you cancel your booking, reduce the number of room nights of your confirmed stay or if you do not arrive at the hotel on your check in date. The fee will differ according to the individual hotel’s cancellation policy.

How do I arrange payment for my accommodation? 
You can choose to pay either by credit card or bank transfer when finalising your registration and accommodation booking via the online registration form.  Credit card payment is made at the time of registration.  If you choose to pay via bank transfer, your invoice will be emailed to you within 24 hours of your registration and will include the details of how payment can be made. Please note that your accommodation/flight booking is not considered confirmed until payment has been received by the Event Organisers.   

You will need to provide a credit card to guarantee your reservation during the booking process, but this card will not be utilised if payment is subsequently made by another method. Please allow sufficient time for your payment to be received. 

All accounts must be paid in full 7 days from the invoice date. Should you register post Monday, 10 June 2024 payment is required within 24 hours. The Event Organiser reserves the right, without notification, to cancel outstanding accounts any time after the due date of the tax invoice. If payment is not received prior to the event, access will be granted only after full payment is made. 

I am thinking of extending my stay either before and/or after the conference but I am unable to book these dates online?

I am arriving early in the morning, can I check in straight away?  
Check-in at all hotels is between 2pm – 3pm dependent on the hotel.  A note can be placed on your booking to advise the hotel of your early arrival, and whilst they will do all they can to accommodate your early check-in request, it is not guaranteed.  In most instances you will be able to leave your luggage at the hotel until your room is available. Please note fees may apply.  Alternatively to guarantee early check-in, you can book and pay for the night prior to your arrival.

My flight isn't departing until the evening, what time do I have to check-out? 
Check-out from your hotel is 10am.  Please let the Event Organisers know your flight details so that a note can be placed on your hotel booking notifying them of your late departure, whilst the hotel will do all they can to accommodate a late check-out, it is not guaranteed.  Generally to guarantee a late check-out, the hotel will charge a fee. 

If you would like to add a confirmed late check-out to your reservation, please contact the Event Organisers via email at

CONFERENCE APP 

Will there be a conference app? 
ICOT 2024 will have a conference app.
